Introduction

At Bilvejledning.dk APS we take the protection of your personal data seriously. This privacy policy explains how we collect, use and protect your data in accordance with the EU General Data Protection Regulation (GDPR) and the Danish Data Protection Act.

What information do we collect?

We collect the following personal data when you contact us or use our services:

• Name and contact details (phone, email, address)
• Information about your car (make, model, year, mileage etc.)
• Payment information in connection with buying, selling or leasing
• Communication history (emails, messages via contact form)
• Technical data from your visit to our website (IP address, browser type, visit time)

Purpose of processing

We process your personal data for the following purposes:

• Responding to enquiries via contact form, email or phone
• Completing car purchases, sales, leasing and imports
• Preparing contracts and trade documentation
• Compliance with legal obligations (bookkeeping act, anti-money laundering act etc.)
• Improving our website and user experience

Legal basis

We process your data on the basis of:

• Consent (GDPR art. 6(1)(a)) — when you fill out our contact form
• Performance of contract (GDPR art. 6(1)(b)) — when we carry out a transaction
• Legal obligation (GDPR art. 6(1)(c)) — e.g. bookkeeping requirements
• Legitimate interest (GDPR art. 6(1)(f)) — e.g. improving our website

Storage and deletion

We store your personal data for as long as necessary for the purpose for which it was collected. Contact enquiries are deleted after 2 years. Trade documentation is stored for 5 years in accordance with the bookkeeping act. After that, your data is deleted or anonymised.

Data sharing

We only share your personal data with third parties when necessary to fulfil an agreement (e.g. leasing companies, insurance companies or financing partners), or when we are legally obliged to do so. We never sell your data to third parties.

Third parties that receive data

Besides the partners mentioned above, we use the following suppliers to run the website:

• Google Ireland Ltd. (Google Analytics). Visitor statistics. Only with your consent.
• Meta Platforms Ireland Ltd. (Meta Pixel). Measuring ads on Facebook and Instagram. Only with your consent.
• Vimeo.com, Inc. Shows videos of the cars. Vimeo receives your IP address when a video is shown on the page. We have turned off Vimeo tracking, so Vimeo does not set tracking cookies.
• Microsoft Ireland Operations Ltd. (Microsoft 365). Receives and stores the messages you send through our forms.
• MotorAPI (motorapi.dk). Looks up the car's data when you enter a licence plate under "Sell your car". We send only the plate.
• Our hosting provider. Runs the server and keeps technical logs, which may contain your IP address, for up to 30 days.

Transfers outside the EU

Google, Meta, Vimeo and Microsoft are US companies and may process data in the USA. The transfer is based on the European Commission's decision on the EU-U.S. Data Privacy Framework, under which the companies are certified, and on the Commission's standard contractual clauses.

Cookies

We set only one cookie without your consent, the one that remembers your cookie choice. You choose for each category. Google Analytics loads only if you say yes to statistics, and Meta Pixel only if you say yes to marketing. The data is not anonymous. Google and Meta can recognise your browser through the cookie and link the visit to other data they hold about you.

Google Analytics. Tells visitors apart so we can see which pages are used. Statistics, requires consent.

Meta Pixel. Recognises your browser so we can measure the effect of our ads on Facebook and Instagram. Marketing, requires consent.

Expires: 3 months

You can change your choice or withdraw your consent at any time under "Cookie settings" at the bottom of every page. If you withdraw it, we delete the Google and Meta cookies from your browser.

Your rights

As a data subject, you have the following rights under GDPR:

• Right of access — you can request information about what data we process about you
• Right to rectification — you can have incorrect data corrected
• Right to erasure — you can ask us to delete your data
• Right to restriction — you can ask us to restrict processing
• Right to data portability — you can receive your data in a machine-readable format
• Right to object — you can object to the processing
